Help people to use our tools

We believe our tools like ERPNext can help organizations reduce waste and complexity. Frappe + ERPNext has the potential to be a “full stack” replacement for not only ERP (SAP/Oracle) but also the entire enterprise stack (Java/.NET). With this scope, we should help organizations by providing products and services to help them manage their technology platforms.

Why ERPNext over SAP B1 / Oracle

100% FOSS

Challenges

As the school grew to several campuses, each one ended up with its own records and processes.

  • Fragmented student data: every campus kept its own student records with no common student ID, so consolidating enrolment and student data took hours of manual work.
  • Manual fee collection: the existing fee portal had frequent payment failures. Campuses relied on cash and cheques, with manual reconciliation and fee slips.
  • Four legal entities: finances are split across The Acres Foundation, T.B. Desai Trust, Vision Education Trust and GAES LLP, and every transaction had to be mapped to the right entity by hand.
  • Parent communication: fee slips, reminders and admission updates were sent individually by email or on paper.
  • Admissions in spreadsheets: enquiries were tracked in separate sheets per campus, with no follow-up process or view of the funnel.

Benefits

  • Admissions CRM: leads from website enquiries to walk-ins are captured in one place and assigned to the right campus automatically, with a live view of the enrolment funnel.
  • Single student database: all students are in one system with campus-specific IDs (GCH, GMU, GKL), along with guardian and medical records under role-based access.
  • Online fee collection: parents pay by UPI, card or net banking, with early-bird discounts, EMI options and instant confirmation.
  • Programme enrolment: enrolment generates fees automatically, links to the academic year and tracks progression from Jr KG to Grade 10, including transfers and section changes.
  • Automated communication: fee slips and receipts are generated and emailed automatically, and reminders go out without staff involvement.
  • Multi-entity accounting: all four entities are set up in one ERPNext instance, and fee payments are posted to the correct entity and accounts automatically, with consolidated reports.
  • Branded documents: parent-facing documents use campus-specific letterheads and a consistent format.
  • Procurement and inventory: purchase requests go through approval workflows, with central inventory tracking mapped to each entity.
