Challenges

Rocin grew quickly across several branches, but its processes did not keep up.

No branch-wise view: operations and transactions could not be tracked branch by branch, so it was hard to tell which branch was profitable and which needed attention.
Scattered communication: emails to employees, suppliers and customers went out from individual accounts, with no Microsoft 365 connection to the system and no organised WhatsApp channel.
Manual bank payments: every payment was keyed into the bank portal by hand, with no view of payment status inside the system.
Remote attendance: there was no way to record attendance for employees working away from the office.
Weak approvals and budget control: requests had no defined approval path, and expenses were not checked against a budget.

ERPNext was set up across accounting, buying, selling, inventory, quality, projects and HR, with integrations for banking and communication.

Branch-wise tracking: purchasing, operations and accounts are tagged by branch, so branch-specific reports and documents come straight out of the system.
Bank API integration: payments are pushed to the bank from ERPNext and their status comes back into the system, removing double entry.
Microsoft 365 and WhatsApp: company email is connected to ERPNext and WhatsApp messaging is available from the system, so correspondence with employees, suppliers and customers is logged against the right records.
Budget workflow: expenses are routed for approval and checked against the budget before they go through.
Remote check-in: employees working remotely mark check-in and check-out in the system with a timestamp.
Multi-level approvals: separate approval workflows per module (purchase, expenses, leave) give a clear audit trail.
