Help people to use our tools

We believe our tools like ERPNext can help organizations reduce waste and complexity. Frappe + ERPNext has the potential to be a “full stack” replacement for not only ERP (SAP/Oracle) but also the entire enterprise stack (Java/.NET). With this scope, we should help organizations by providing products and services to help them manage their technology platforms.

Why ERPNext over SAP B1 / Oracle

Challenges

Precious Alloys ran its operations on SAP HANA. As the business grew across branches and group firms, the gap between how a precious-metals business works and what their SAP setup supported kept widening.

  • Pricing outside the system: gold, silver and platinum prices change through the day. Sales teams calculated selling prices in Excel using live metal rates and then keyed them into SAP, which was slow and error-prone.
  • Industry needs not covered: tray-level inventory, job-work material that must not hit the books, customers and suppliers who transact in more than one currency, and commission on materials imported from Legor were handled outside the system or with workarounds.
  • Multiple firms, no single view: operations of the group firms could not be unified in one system, so consolidated reporting meant manual effort.
  • Stock visibility: stock was tracked only at warehouse level, while the business needed branch and tray level visibility.
  • Customisation cost: adding a custom field or changing a print format needed consultants, time and money. Print formats were fixed.
  • Foreign exchange: EUR–INR and USD–INR rates were not fetched automatically, even though imports make currency movement matter to metal costs.
  • Licensing: every new user added licence cost, so CRM and HR tools were never rolled out beyond a few users.
  • No mobile access: sales and HR processes were tied to desktops.

Benefits

The team moved from SAP to ERPNext, with Frappe CRM and Frappe HR, on one system with no per-user licence cost. Master and transaction data was migrated from SAP.

  • Metal-rate pricing: a custom pricing module on Quotation fetches live gold, silver and platinum rates and calculates selling prices inside ERPNext, replacing the Excel sheets.
  • Loss protection: if a Quotation or Delivery Note is priced below valuation rate, it goes to internal approval instead of going through.
  • Manufacturing: labour charges are calculated from the Work Order, with Quality Inspection built into the flow.
  • Job work: stock entries for material supplied by customers for job work are kept out of the accounts.
  • Forex: a scheduler fetches exchange rates through an API and maintains a currency exchange list with spread-based rates for EUR–INR and USD–INR (both directions), applied to every transaction.
  • Multi-currency parties: customers and suppliers are separated by currency and filtered by branch and currency on transactions, cutting wrong selections.
  • Tray-level inventory: Branch and Tray are set up as inventory dimensions. Each tray belongs to a branch, and stock can be filtered by both.
  • Indent commission: a custom process tracks and settles commission payable to Legor on imported materials.
  • Controls: a credit approval dashboard for customer credit limits, role-based user permissions, and invoice naming series by branch.
  • Compliance: GST details are fetched automatically through India Compliance.
  • Reports: COGS, batch-wise gross profit, Other Metal Variance, MSME report for accounts, currency-wise customer and supplier reports, forex fluctuation tracking, and an MRP report with the company's own reorder formula. Power BI is connected for management dashboards.
  • Mobile: CRM and HRMS mobile apps for sales visits, attendance, leave and expenses.
  • Self-service: users now create their own print formats and reports. An internal wiki documents processes for all users, and support tickets go through a helpdesk app.

Impact

Successful on-time ERPNext go-live

Increased sales order to cash

Increased inventory turnover

  • Pricing Excel sheets are gone; prices come from live metal rates inside the quotation.
  • No per-user licence cost, so CRM and HRMS were rolled out to the whole team, which never happened on SAP.
  • Batch-wise profit, currency impact and job-work stock are visible without manual reconciliation.
  • Sales, manufacturing, inventory and accounts work on the same data across branches and firms.
  • Accurate stock by branch and tray instead of warehouse only.
  • The team makes its own formats, reports and workflow changes without waiting on consultants.
The team demonstrated strong domain knowledge and a clear understanding of our business processes. As a result, we have improved process visibility, reporting accuracy, and operational efficiency.
