  • Disconnected Systems Across Departments: Before ERPNext, Apna Mart was using Tally for accounting while inventory and operational activities were managed through separate systems. This created data silos across departments, making it difficult to get a unified view of business operations. Teams often had to switch between multiple platforms to access information, resulting in delays and inconsistencies.
  • High Volume Invoice Processing: With hundreds of stores and thousands of supplier transactions, the finance team was handling a large volume of purchase and sales documents. As transaction volumes increased, maintaining accuracy while ensuring timely processing became increasingly challenging.
  • Complex Data Migration and Bulk Imports: Migrating years of accounting and operational data into a new ERP system was a major challenge. Apna Mart manages a large product catalog with over 60,000 SKUs, and during implementation, the team needed to import massive volumes of historical records. Attempting to upload large datasets in a single batch created performance issues and delayed processing. The challenge was not only importing the data but ensuring it remained accurate, structured, and usable within the new system.
  • Manual GST Handling: GST compliance is a critical part of retail accounting, and manual tax verification was consuming valuable time for the finance team. During invoice imports, tax details such as: CGST IGST were not automatically mapped, requiring users to manually review and update records. This increased the risk of errors and slowed down accounting workflows.
  • Managing 60,000+ Products and Supplier Relationships: Apna Mart works with thousands of suppliers and manages a vast catalogue of products across its retail network. When creating purchase transactions, users often had to search through extensive item lists to identify supplier-specific products. This made procurement processes slower and increased the possibility of selecting incorrect items. The growing scale of operations demanded a more organised and efficient way to manage supplier product relationships.
  • Limited Visibility Across Multi-Store Operations Operating across 4 states and 15+ cities meant managing multiple warehouses, cost centres, approvals, and inventory movements simultaneously. Without a centralised ERP system, obtaining real-time visibility into operations across stores was difficult. Decision makers often relied on manually compiled reports, making it harder to monitor performance and respond quickly to business needs.
