A2Z was running that chain across separate tools. Hiring, attendance, payroll and finance each lived in a different system, so every payroll cycle depended on someone consolidating attendance by hand and assembling statutory reports after the run rather than during it. Six specific problems.

  • Onboarding left no usable record- Identity verification and document collection happened manually at each location, so nothing carried forward into the employment lifecycle and employee details were recreated at every later step.
  • Attendance came from three sources that disagreed- Biometric devices at some sites, mobile check-ins at others, and manual corrections throughout, with no system rule deciding which record was authoritative when they conflicted. Many sites had no biometric hardware at all.
  • Payroll rules differed per contract- Client contracts, salary components, shift structures and state statutory requirements all varied. Accuracy each cycle depended on someone remembering which rule applied to which employee, across 12,000 of them.
  • Every routine request reached HR- Payslips, leave balances and attendance corrections all went through HR teams, so the request backlog grew directly with headcount and site count rather than staying flat.
  • Compliance was assembled after the run- Provident Fund, ESIC, Professional Tax and Labour Welfare Fund obligations were worked out following payroll rather than inside it, adding a manual preparation step to every cycle and creating exposure in a labour-intensive industry where statutory scrutiny is routine.
  • Finance had no project-level view- operations ran across spreadsheets, Tally and a separate GST process. Tracing revenue and cost for a single project, site or client contract meant manual reconciliation across locations, so profitability was known after a contract period rather than during it.

  • Attendance: geo-fenced mobile covers sites without biometric devices; priority rules resolve conflicts where devices exist. Shift rules auto-calculate late-in, half-day, Loss of Pay. Feeds payroll with no manual review. Rosters managed centrally.
  • Payroll: salary structures set by grade and contract. PF, ESIC, Professional Tax, Labour Welfare Fund, statutory bonus, TDS all auto-calculated. Arrears and Loss of Pay handled without rerunning payroll.
  • Self-service app: payslips, leave balances, leave requests, attendance regularisation, multiple languages. Client ticketing panel for attendance, payroll, billing queries.
  • Finance: four dimensions (Project, Group, Zone, Operating Personnel) tag every transaction for traceability. Procurement auto-posts to GL. Bank reconciliation handles one-to-many mappings. Financial statements and GST reports on demand.
  • Core point: attendance became a system record, not a sheet. Everything else resolves from that.

  • Payroll for over 12,000 employees runs from attendance the system already holds, removing the manual consolidation step that previously preceded every cycle.
  • Statutory compliance for PF, ESIC, Professional Tax, Labour Welfare Fund, Bonus and TDS is calculated inside each payroll run rather than assembled afterwards. PF Challans and ESIC Reports generate directly from payroll data, so compliance preparation is no longer a separate task per cycle.
  • Attendance is location-verified across more than 100 client sites, including sites with no biometric hardware, where previously no verification was possible without a supervisor present.
  • Payslip, leave and attendance-correction requests moved from HR queues to employee self-service, so the HR workload no longer scales with headcount and site count. Project-wise revenue, zone-wise cost and manager-wise profitability are available on demand from accounting dimensions, instead of after manual consolidation from each site.
  • GST filing across multiple state registrations runs inside the ERP, replacing a separate portal-based process alongside Tally.
  • Retroactive salary revisions and Loss of Pay corrections are handled without rerunning payroll.
  • Licence cost does not rise with headcount, which is material for a business where headcount moves with contract wins across a 12,000-plus workforce.
