As rtCamp scaled its operations across departments, different teams began adopting specialized SaaS platforms for their needs. This included:

  • Recruitee for recruitment and applicant tracking - Keka for HR, Pipedrive for sales and CRM Each tool worked well in isolation, but collectively, they introduced a growing set of operational challenges.
  • Duplicated data across platforms, requiring manual syncing and reconciliation
  • Lack of visibility into cross-functional processes for leadership and team leads
  • High subscription costs and platform overheads - Difficulty in customizing workflows, as each SaaS came with its own limitations
  • Most importantly, disconnected user experience for a team used to working seamlessly rtCamp needed a way to unify these functions while maintaining flexibility and long-term control over its systems.

Recognizing the growing inefficiencies, Rahul Bansal, rtCamp’s Founder & CEO, decided to take a more integrated and open-source-first approach to operations, mirroring the philosophy the company had long advocated for its clients. Together with a small internal team of developers and analysts, rtCamp launched a gradual migration plan, mapping out all existing SaaS tools and identifying overlaps. Here’s how ERPNext addressed their challenges:

  • Unified Platform : All core functions—Recruitment, HR, CRM were brought under a single platform.
  • Customization with Frappe Framework : Modules were extended to reflect rtCamp’s specific processes, like custom candidate evaluation steps in Recruitment, and dynamic billing rates based on employee roles in Project Management.
  • Automated Workflows : Integration between modules eliminated manual work. For example, once a candidate is hired, their record automatically feeds into the HR and onboarding system.
  • Better Visibility & Reporting: Team leads and leadership gained instant access to dashboards showing active allocations, open roles, sales pipelines, and revenue projections—without juggling multiple logins.
  • Open-Source & Cost-Effective: By moving away from commercial SaaS tools, rtCamp significantly reduced its recurring software expenses, while gaining full control of its data and roadmap.

It’s highly customizable and scalable, with support for external apps (more like plugins). We have used ERPNext to replace our accounting (Xero), HRMS (Keka), payroll solution (Greytip) ATS (Recruitee), PMS (ActiveCollab), time tracking (Everhour), CRM (Pipedrive) and dozens of spreadsheets. And we are not even done yet. Saving literally tens of thousands of dollars in SaaS subscription, we also benefit from an integrated, yet modular platform. Since ERPNext doesn’t have per-user pricing, more information can be shared directly with stakeholders across the board.
