Challenges
Gratitude was struggling with too many expensive SaaS apps. Their founder, Pritesh, attended the 2023 Frappeverse and that's when he was introduced to all the open-source applications by Frappe. Later that year, during the year-end book closing, he realized that his current accounting system, Tally, was inaccessible and hard to use. It always seemed like a cryptic system that only CAs can use. However, he felt the need to access his financials frequently. Around the same time he was looking for alternatives for Notion and Convertkit, which he used for team collaboration and sending Gratitude newsletters because both were priced based on per employee-user / per subscriber.
Benefits
Gratitude decided to switch to ERPNext. Their CA firm adopted the new app easily. They liked the cloud-first nature of ERPNext. Gratitude employees now had easy access to financials and started looking at their financials in real-time. Also unlike other accounting systems, ERPNext doesn't have a per-user per-month licensing, which allows all employees to have access to the necessary data without having to reach the finance team all the time. This was a game-changer.
Next, it was time to migrate from Notion to Gameplan, which is Frappe's open-source alternative for Notion and works perfectly for remote communication. Gameplan was a breeze of fresh air. Notion increased Gratitude team's planning and execution muscle significantly. Pritesh never thought that adopting an app could make such positive changes in the way of working, and the quality of ideas. Gameplan made Gratitude employees step into slow thinking, which they rarely did.
The next big pinch to Gratitude costs was the Convertkit subscription. With growing newsletter subscribers, the bill for Convertkit has reached a whooping $500/m and is set to increase even more. Convertkit charges "per subscriber" and something about this didn't make sense. After getting a recommendation from someone, he decided to give ERPNext newsletters a try. ERPNext newsletters allowed them to do all their activities on Convertkit, including creating email groups, scheduling newsletters, getting analytics, etc. For the scale required, ERPNext newsletter was integrated with SendGrid, but the total cost was a lot less (~70%) than what was otherwise being paid for Convertkit.
During the journey, Gratitude also decided to give Frappe Helpdesk a try. This was a perfect alternative to Hiver, a Gmail app that helps with answering support queries from multiple channels raised by app users. The migration to Frappe Helpdesk is currently a work in progress.
