Email Integration for Sales and Jobs

Most companies have a standard email id for sales related inquiries like info@mycompany.com or sales@mycompany.com and also for jobs like work@mycompany.com or jobs@mycompany.com.

Benefits include:

  1. Emails become a part of the system and you are not dependant on an individual to reply them. This means you get rid of the "volunteer dilemma" which essentially means that no-one replies because they think someone else will reply.
  2. You can ensure that ALL mails get replied. The #1 factor in customer satisfaction is the speed of reply, hence by getting regular status, you can start replying things fast.
  3. Monitoring: You can also monitor the quality of reply and review.
  4. Archival: All these emails get archived automatically.
  5. Integration: You can link all these to existing Leads or Contacts so that your entire communication history can be saved.

Since we had already made a system to pull support emails from our Support id (since we needed it badly). It was only a matter of extending it to sales and jobs.

Sales Integration

  1. Setup the sales integration go to Setup > Email Settings > Sales Email Settings
  2. Enter your email information. If you are not sure, call up your email administrator.
  3. All emails from existing Leads, get tagged in Leads and their status becomes "Open"
  4. For all emails from new persons, a new Lead is created in the system.
  5. You can reply from the Lead itself, and the status on replying becomes "Replied".

Jobs Integration

  1. Setup the sales integration go to Setup > Email Settings > Jobs Email Settings
  2. Enter your email information. If you are not sure, call up your email administrator.
  3. When someone sends an email applying for a job, a new "Job Application" (in HR) gets created and its status become Open.
  4. When the job applicant replies back, a new Communication gets added to the Job Applicant and its status becomes open.

This is the first step in deeper email integration into ERPNext. We understand that a lot of business information gets recorded in emails and we want to slowly bring individual email accounts into the system.
