Before migrating to a unified ERP system, beadedstream relied on multiple disconnected software solutions to handle various business functions, including pre-sales, sales, production, inventory, and accounting. This reliance on siloed applications included systems like QuickBooks for accounting and Fishbowl for inventory management. Additionally, they used separate SaaS tools such as PandaDoc for quoting and sales, and Asana for project management, alongside spreadsheets for managing inventory for electronics and handling production orders. This fragmented technological landscape resulted in disconnected and inconsistent data silos, making data management difficult across multiple platforms.


Furthermore, the legacy software solutions were expensive; the company was spending approximately $5,000 USD every month just to maintain these numerous SaaS subscriptions and applications. A core challenge specific to beadedstream’s operations is their need for "custom as standard manufacturing". They frequently produce custom products, but require a system that enforces consistency to manufacture each custom item exactly the same way every time

Benefits

Seeking a single source of truth to streamline their end-to-end operations, beadedstream landed on ERPNext searching for open-source ERPs. The implementation focused on unifying core modules: CRM and Sales, Inventory, Production, Purchase, and Accounting. Key components of the successful implementation included:

  • Manufacturing Execution System (M.E.S.) Customisation: Leveraging the flexibility of the Frappe Framework,  a custom application called Batch Job Processing (a Custom M.E.S. interface) was built specifically for DTC production. This solution enables shop floor workers to batch process multiple jobs for the same operation simultaneously, improving manufacturing efficiency. The custom document tracks employee, workstation, operation, and serial numbers involved in the batch job.
  • Seamless Integration with IoT Platform: ERPNext was integrated with beadedstream's own customer data monitoring solution, beadedcloud, using webhooks and APIs. This integration ensures data consistency by: Syncing Quotations and Sales Orders from ERPNext to beadedcloud, receiving Bill of Materials (BOM) details back from beadedcloud into ERPNext for creation or linking to the respective Quote/Sales Order, and syncing the Logger Serial Number upon submission of the Delivery Note, associating the manufactured asset with the customer’s project in beadedcloud.
  • Financial Unification and Traceability: ERPNext successfully replaced QuickBooks. They adopted the Moving Average method for Stock Valuation. Moving to ERPNext also provided real-time Cost of Goods Sold (COGS) visibility by Product type in real-time

The implementation of ERPNext provided beadedstream with a scalable, unified platform that resulted in significant operational improvements and quantifiable cost savings:

  • Massive Annual Cost Savings: By replacing multiple costly SaaS applications (including Pipedrive, Asana, QuickBooks, and Fishbowl), beadedstream realized annual savings of $60,000. They moved from spending approximately $5,000 USD per month on old applications to a minimal hosting plan on Frappe Cloud.
  • Operational Unification: The company successfully brought all critical business operations, from CRM and sales through to manufacturing and finance, within one single software environment.
  • Enhanced Efficiency and Responsiveness: The ability to execute critical business operations within one system improved efficiency.
